In briefThis guide explains what you get with email on your own domain, how it compares with Google Workspace and Microsoft 365, and why SPF, DKIM and DMARC have become mandatory for good delivery to Gmail, Yahoo and Outlook.

Why professional email hosting in 2026? The context in Romania

An address such as name@company.ro shows that the message comes from the company, not from just anyone. The address stays with the company even if the employee leaves, and you decide who has access to what.

Over the last two years, the big email providers have required messages to be authenticated. Without correctly configured SPF, DKIM and DMARC, your company’s messages end up in spam or get rejected more often.

What is email hosting and how is it different from free email?

Email hosting means a server that receives and sends messages for your domain (Wikipedia). The differences compared with a free address:

  • Your own domain: contact@company.ro instead of company@gmail.com.
  • Control: you create and delete addresses, set up forwarders, lists and autoresponders.
  • Authentication: you configure SPF, DKIM and DMARC for your domain.

How much does email hosting cost for a small company in Romania in 2026?

  • Email included with hosting: on all HostON web hosting plans you get email addresses on your domain, with webmail, anti-spam filters and setup on your phone and in Outlook. The number of addresses is unlimited, within the plan’s disk space.
  • Google Workspace and Microsoft 365: these are paid per user, per month, and include calendars, documents and video conferencing. Current prices are on workspace.google.com and on microsoft.com.

If you only need email, the option included with your hosting is the cheapest. If your team works a lot in shared documents, Workspace or Microsoft 365 may be worth the money. You can find details about the HostON option on the Professional email page.

Setting up SPF, DKIM and DMARC: why it matters in 2026

Since February 2024, Gmail has required all senders to have SPF or DKIM, valid reverse DNS and a TLS connection. Senders of more than 5,000 messages a day must also have SPF, DKIM and DMARC, plus one-click unsubscribe (Google). Since November 2025, Gmail has started rejecting, temporarily or permanently, messages that do not follow these rules. Since 5 May 2025, Microsoft has required SPF, DKIM and DMARC from senders of more than 5,000 messages a day to Outlook.com, Hotmail and Live.com (Microsoft).

  • SPF states which servers are allowed to send messages for your domain.
  • DKIM signs every message, so the recipient can check that it has not been altered.
  • DMARC tells the recipient what to do with messages that fail the checks and sends you reports.

If your domain uses HostON DNS servers, cPanel can configure SPF and DKIM automatically from the “Email Deliverability” section. You add the DMARC record from the DNS zone editor. If you do not know which values to use, open a ticket and we will help you.

Frequently asked questions

It is the service that receives and sends email for your company’s domain, for example name@company.ro. The addresses stay with the company, and you control who has access.

On HostON hosting, email on your domain is included in the plan. Google Workspace and Microsoft 365 are paid per user per month, but they also include other applications.

Email in cPanel is included with your hosting and covers basic needs. Workspace and Microsoft 365 add calendars, shared documents and video conferencing, at a cost per user.

If your domain uses HostON DNS, SPF and DKIM are configured from cPanel, under “Email Deliverability”. You add DMARC as a TXT record on _dmarc.domain.ro, from the DNS zone editor.

First check SPF, DKIM and DMARC. Then look at the content (shortened links, image-only messages, aggressive subject lines) and at your address lists. Send bulk mailings through a newsletter service, not from your regular mailbox.
